When the latest version of ChatGPT was released between 2022 and 2023, it was the most impressive advance to date in terms of questions answered with AI. Since then, there has been a real hype surrounding AI. On the one hand, extreme efficiency gains are expected in the economy - on the other hand, there are warnings that many jobs will be lost. Many people are also calling for regulations and laws on the use of artificial intelligence because they see it as dangerous. We don't want to get involved in socio-political debates at this point - we are focusing on areas that are of interest to associations in order to save resources and implement projects more quickly. That is why today we are looking at areas where AI (artificial intelligence) is useful for associations.

What is artificial intelligence?

AI attempts to transfer human learning and thinking to the computer and thus give it intelligence. Instead of being dependent on individual programming for every purpose or work step, AI can find answers independently and solve problems on its own. However, the difference between this vision and the current possibilities is still quite large. However, there are significant further developments that make it difficult to tell the difference between human and machine task completion.

Programs in the field of artificial intelligence

ChatGPT is certainly the best-known AI program on the market. However, Google already has a promising competitor in the form of “Bard”. ChatGPT works like a chat bot, allowing users to ask a question and receive answers. This means that users can request information or knowledge, obtain recommendations and formulation aids or have content summarized. The program has been trained over many years with countless data and calculates the most likely suitable answer after a question has been entered. But AI has also been able to take decisive steps forward in image processing: ChatGPT developed a tool called “DALL-E” for this purpose, which is more advanced than the competitor product “Midjourney AI”.

Important: The AI does not yet “think” independently, but is dependent on information fed in by humans. This means that the underlying sources and data may be incorrect or problematic (racist, discriminatory or incomplete). In order to obtain satisfactory answers, users must ask very good questions or give very good instructions. These instructions are called “prompts” in the AI environment and influence the result. ChatGPT has a built-in blocker to prevent racist content from being published. In addition, sites with trustworthy and verified content (e.g. Wikipedia or Reddit) have been given a higher ranking. However, users always find ways to circumvent the blockers by using cleverly written prompts.

How AI can be useful in your sports club

  • Create an image for a post on social networks in the club design. 
  • Improve the existing image and add sponsors and backgrounds.

Our test result: We tried Midjourney AI and achieved impressive results, especially with logos. However, the program has problems with letters or words that are to be integrated into the image. The letters of the sponsor or the club are then rather randomly arranged in the logo.

Text creation with ChatGPT

We have entered the following fictitious content in ChatGPT:
Please write me a match report of 2,000 words of the soccer match Eintracht Holzhausen vs Kickers Markkleeberg 2 for the C-Juniors, date 15.01.2023, stadium zum Vereinsstrategen, Eintracht Holzhausen won 1-0 after 3 penalties, referee had many wrong decisions, spectators 300, goal by Mark Hase 89th minute.

ChatGPT produced the following match report (excerpt):

How the AI works with ChatGPT

During our input attempts, ChatGPT initially did not understand that the game ended 1:0 and instead scored a 1:1 including extra time. After a correction, the match ended 1:0, but the match report still included extra time. The third version shown above still contains errors. The following conclusions can be drawn from this example:

  • ChatGPT tries to fill information gaps with fantasy (high tempo, great effort, game control, the fight for every ball). 
  • Filling information gaps with imagination can lead to false information (the game could have been boring). 
  • Entering the prompts is crucial for “good results”. This is because asking questions is a learning process for the AI. 
  • Rule of thumb: The more information ChatGPT receives, the better the result. 
  • Ideally, the input should be divided into components (line-up, substitutions, stadium, spectators, weather, match events). 
  • Alternatively, you can write the text yourself and use ChatGPT to adapt the chosen style by making it more neutral or more exciting.

Further areas of application for ChatGPT in your club

  • Preparation of minutes for a Board meeting (with a transcript or recording). 
  • Suggestions for the member newsletter. 
  • Suggested texts for birthday or Christmas cards. 
  • Texts for social media channels. Summaries and concept development.

Concept development with ChatGPT

We have entered the following prompt in ChatGPT: Our sports club would like to set up a salsa dance group. How do I get as many members as possible for this group without investing money?

With appropriate formulations, the following answers emerged:
  • Word of mouth. 
  • Social media (have a plan drawn up -> can also be output in table form). 
  • Flyers and posters. Local events. 
  • Cooperations. 
  • Local media. 
  • Open trial lessons. 
  • Word of mouth through members. 
  • Online dance classes. 
  • Get involved in the community.

We consider the quality of the answers to be very high. The content-related assistance can be expanded with additional questions:
  • What is the best way to spread word of mouth in a school? 
  • How do I create a sponsorship folder? 
  • What does a modern design for a salsa dance course look like?

Here, too, the results were convincing. The AI can save an enormous amount of time on research work. ChatGPT gets to know you and your request in a chat window and includes previous questions and answers in the calculation. Providing useful information about the club is also worthwhile because ChatGPT's suggestions vary depending on location (large or small town), club size and time budget. You give the AI information about who you are and who ChatGPT is. Creating a mission statement with ChatGPT

The "mission statement" for a mission statement also works excellently in the context of AI and ChatGPT. In our test, we entered the following prompt: "Create a mission statement in a maximum of 3 sentences for TSV with its tennis, soccer, gymnastics and swimming departments."

The result: the association is close to its home, attaches great importance to preserving the environment and is committed to the local community."

Here you can try out what would come out for your club. You can have several versions written and use this as the basis for the text on the homepage. What amazes us the most is the speed with which the answers and assistance are found. Important: Use lots of adjectives!

Gathering information with artificial intelligence

When asked "how many Salza dance classes were there in Germany in 2022", ChatGPT revealed a weakness with the answer below:

"As an AI model, I do not have real-time data or access to specific information about 2022 or other current events as of my knowledge in September 2021, so I cannot give you an exact number of salza dance classes in 2022 in Germany."

ChatGPT does not currently have access to real-time data. In addition, it is important to be careful with AI programs when it comes to fact-finding. There are a lot of false answers to factual questions circulating on the internet, which means that ChatGPT is not (yet) recommended for this purpose. And if you do want to use it for research work? Don't forget to double-check the facts!

The use of AI in data processing and computer science

Data preparation 
The use of AI in data preparation and computer science ChatGPT's data preparation already works very well. Sorting words alphabetically or finding errors in entered data are prompts that already deliver impressive results. This is less interesting for clubs - apart from large lists for tournament registrations or the preparation of the member database.

Use in information technology 
 AI is faster at writing code or checking for errors. As a result, developments in the software sector are accelerated. This makes it possible for associations to obtain software solutions more cheaply. In the long term, AI may develop entire programs that can be used in the club. Prompts describing how the future software will work must then be entered here.

  • Spam mails: There is already a flood of spam mails, the number of which will increase with modern AI.

  • Recognizability: It will be difficult to tell whether the content was created by a machine or a human. Legislation may have to include labeling regulations for this. 
  • Rights of use: ChatGPT and Midjourney AI may use legally protected content as source data. There are currently no legal regulations on this. 
  • Data quality: The content of the AI is based on data. This means that the quality of the content depends on the quality of the data. Poor data quality logically leads to distorted or incorrect content.

The cost of AI programs

ChatGPT can be used free of charge. However, usability is limited if too many people access the program or server at the same time. A paid version is available so that users can access and use the program at any time. The standard version of Midjourney AI costs 10 dollars per month and DALL-E from ChatGPT is also subject to a charge. Microsoft is currently in the process of integrating ChatGPT into its Office products and the Bing search engine. Further developments and flexible application options for a broad section of the population can also be expected here.

A look into the future: how will AI develop in the foreseeable future?

It can be assumed that chat bots will see some improvements in the area of customer service. A good chat bot can also be interesting for clubs to provide online support with registration procedures or standard forms (e.g. membership certificate for health insurance). The design of interfaces for easier operation will also pick up speed - so amateurs without the ability to write prompts can receive accurate results. Clubs can certainly save a lot of time with AI and have the opportunity to achieve a professional level of online presence (website, social media, optimization of club processes).

Should you only rely on AI in your club?

Rather not. Even if there were significant breakthroughs in 2023, you should still give the topic some time. There are certainly some cases where AI is already providing support in club work today. Sooner or later, one or two of these will certainly find their way into your club's everyday life. It will still be a while before AI reaches a broad section of the population.
